Social Media protocol / gedragscode

Social Media bieden kansen om te laten zien dat je trots bent op je werk. Daardoor kan het bijdragen aan een beter imago bij klanten, leden, leveranciers en vakcollega’s etc. Het delen van informatie en kennis met groepen waarmee op traditionele wijze nauwelijks communicatie mogelijk was kan leiden tot een beter beeld van de organisatieomgeving. Daardoor is het mogelijk de klantenservice en klantenrelatie te verbeteren.



 

Over de gevolgen voor de arbeidsproductiviteit verschillen de meningen. In onderzoek van de Universiteit van Melbourne is aangetoond dat mensen die in werktijd actief met social media bezig zijn 9% productiever (output gericht) zijn. Brits onderzoek legt juist de nadruk ‘verloren’ arbeidsuren (werktijd gericht) waardoor de productiviteit door social media juist lager is.

Net als bij de opkomst van e-mail en internet in organisaties ontstaan nieuwe vragen bij het gebruik van social media in die organisaties. Privé-gerelateerde zaken en werkgerelateerde zijn niet zo gemakkelijk te scheiden en dat hoeft ook niet. Uitgangspunt is dat social media een waardevolle bijdrage aan de organisatie leveren, zoals e-mail en internet dat ook hebben gedaan en nog steeds doen. Bij nieuwe ontwikkelingen zie je vaker dat een aantal werkgevers en werknemers vooral de bedreigingen zien, anderen vooral de kansen. Om verschillende denkbeelden over het gebruik van social media in organisaties niet te laten leiden tot misverstanden is dit protocol ontwikkeld.

Voorbeelden:

  • Op de werkvloer ontstaat discussie over de tijd die iemand op het werk besteedt aan sociaal netwerken. Informatie opzoeken op internet en contacten onderhouden via e-mail zijn wel gangbaar.
  • Een leidinggevende vindt dat een medewerker zich te veel profileert via social media en spreekt hem daar op aan.
  • Een medewerker twittert uit een vertrouwelijke bijeenkomst of heeft kritiek op de eigen organisatie.
  • Iemand wil op zijn privéblog over werkgerelateerde zaken schrijven en weet niet goed of dat mag.
  • Een werknemer geeft via Twitter en blog kritiek op een leverancier, terwijl zijn organisatie in onderhandeling is over een schadevergoeding.


Gedragscode
(Dit document is vrij te gebruiken. Waar nu CNV staat kan de naam van de eigen onderneming ingevuld worden)

1. Werknemers proberen kennis en andere waardevolle informatie te delen, mits die informatie niet vertrouwelijk is en het CNV niet schaadt.

2. Het CNV ondersteunt de open dialoog en de uitwisseling van ideeën en het delen van kennis. Dit gebeurt op persoonlijke titel, bij werkgerelateerde onderwerpen met vermelding van organisatie en functie. Er wordt steeds geschreven in de eerste persoon.

3. Werknemers zijn persoonlijk verantwoordelijk voor de inhoud die ze, voor zover dat niet tot hun functie behoort, publiceren op blogs, wiki’s, fora en andere media die gebaseerd zijn op user-generated content. Zij zijn zich ervan bewust dat wat zij publiceren voor langere tijd openbaar zal worden, met gevolgen voor hun privacy.

4. Werknemers die publiceren op een website anders dan die van het CNV over een onderwerp dat wel te maken kan hebben met het CNV maken kenbaar of zij op persoonlijke titel publiceren. Eventueel aangevuld met een disclaimer waarin staat dat het persoonlijke standpunt niet overeen hoeft te komen met dat van de organisatie (m.n. bij blogs).

5. Werknemers respecteren het beeld-, auteurs- en citaatrecht.

6. Werknemers publiceren niet ongevraagd vertrouwelijke of andere merkgebonden informatie. Voor het publiceren van interne gesprekken wordt eerst toestemming gevraagd aan de leidinggevende of de daarvoor verantwoordelijke afdeling of persoon.

7. Werknemers mogen geen vertrouwelijke en/of schadelijke informatie verstrekken over klanten, partners of leveranciers zonder hun goedkeuring. Hierin wordt geen onderscheid gemaakt tussen informatie over het product en de persoon of het bedrijf.

8. Werknemers respecteren degene tot wie zij zich richten. Etnische laster, persoonlijke beledigingen en obsceniteit zijn niet geoorloofd. De privacy van anderen wordt gerespecteerd. Als je publiceert over een concurrent zorg je ervoor dat wat je zegt feitelijk en juist is, zonder een concurrent in diskrediet te brengen. Vermijd daarbij onnodige of onproductieve argumenten, die leiden tot niets. Gooi geen olie op het vuur in debatten, maar blijf feitelijk. 
 
9. Werknemers van het CNV mogen actief zijn op social media mits het werk er niet onder lijdt. Afhankelijk van de functie van een medewerker kan het gebruik van social media meer of minder gewenst zijn. Leidinggevende en medewerker maken hierover afspraken.

10. Werknemers zijn zich bewust van hun relatie met het CNV in online sociale netwerken. Als je actief bent als werknemer voor de organisatie waarvoor je werkt zorg je ervoor dat het profiel en de inhoud in overeenstemming is met hoe je je in tekst, beeld en geluid zou presenteren ten overstaan van collega's en klanten.

11. Probeer de eerste te zijn om je eigen fouten te corrigeren, zonder eerdere berichten te wijzigen of te verwijderen. Vermeld daarbij dat jij degene bent die het bericht wijzigt. 
 
12. Het CNV wil eerlijk en transparant zijn. Dit betekent dat er geen pr of marketing onder een andere naam plaatsvindt, maar dat altijd de organisatie en functie wordt bekendgemaakt.

13. Bestuurders, managers, leidinggevenden en degene die namens de organisatie het beleid en de strategie uitdragen hebben een bijzondere verantwoordelijkheid bij het bloggen. Op grond van hun positie moeten zij nagaan of zij op persoonlijke titel kunnen publiceren. Zij zijn zich bewust dat medewerkers lezen wat zij schrijven.

14. Blogs en sociale netwerken die worden gehost door het CNV moeten worden gebruikt op een manier die waarde toevoegt aan de bedrijfsdoelstellingen van het CNV. Het moet eraan bijdragen dat jijzelf, collega’s, klanten en partners hun werk beter kunnen doen en helpen bij het oplossen van problemen en het verbeteren van vaardigheden en kennis. 
 
15. Bij de geringste twijfel over een publicatie of over de raakvlakken met het CNV is het verstandig contact te zoeken met je leidinggevende of daarvoor verantwoordelijke afdeling/persoon. Uiteindelijk is het helemaal je eigen verantwoordelijkheid wat je post of publiceert. Het kan echter geen kwaad advies in te winnen.
